Contents: FAQ (Frequently Asked Questions)

This is the "FAQ" list, which is probably the most useful form of online help. Search the list (below) for a question that may be similar to yours, then read to see whether it helped. If not, send your question by email to EmcHelp@macfarlane.biz, and I'll update the list for the benefit of future readers.

  3. How do I stop duty rotas or repeating events from clashing with other things?
  4. Whats going on with the colours and fonts?

What's the score with personal information in the calendar?

The online events calendar is covered under the Data Protection Act consent form that all members sign when they join the club; this allows their information to be used in order to administer the club's business.

Events in the online calendar are marked either as "public" or "private". Those that are "public" may be viewed by the general public, without first logging-in to the website. These events are shown within the online calendar with an unlocked padlock symbol to their left.

"Private" events are only visible to club members, after logging-in with an appropriate username and password. All "duty rota" events are "private", visible only to other club members, and cannot be seen by the general public.

Why can I change some events in the calendar, but not others?

There are two possible reasons.

Possibly, you have logged-in as an "administrator", but you are trying to change events that were scheduled as duty rota days. These can't be changed directly - you need to change the definition of the duty rota itself. Its likely that you are trying to schedule around some other event, in which case try reading this answer ("How do I stop duty rotas or repeating events from clashing with other things?") instead.

Alternatively, you may be logged-in as a club member, in which case you can only alter events that you created within your current browser session. You can only change (or delete) events that you created in the first place, and even that right will be cancelled if you close and reopen your browser in between creating and editing the event. There is a longer explanation here.

Either that, or you haven't logged-in at all, in which case you're not allowed to change anything.

How do I stop duty rotas or repeating events from clashing with other things?

First, you need to be logged-on as an "administrator" to do this...

Make sure that the event type (for the event that you are trying to work around) appears in the "Skip if clashes with..." list for the repeating event or rota in question. If it already does, then the chances are that the one-off event was entered into the diary after the rota (or repeating event) was sheduled, so go to the page where the event (rota) can be changed, and press the "re-schedule" button... voila!.

Alternatively, administrators can directly edit (or delete) events that were inserted into the calendar automatically as a result of "repeating" events. However, any changes you make to these events may be lost in the future, if the definition of the repeating event itself is ever updated (and, as a result, replacement events are entered onto the calendar).

Whats going on with the colours and fonts?

Sometimes, the colours and fonts for your events are not as expected. This is because the colours, fonts (and icon) for each event are defined in terms of the event itself, the club section (if any), the location (if any), and the event type (if any). Settings for each of these are applied in an order of precedence that is discussed in more detail here.
